Before applying for the support program, are you recognized by the Town?

It is important to know that the Town, in its desire to support the community, must ensure that it supports organizations that meet the criteria set out in the Organization Recognition Policy. It is important to note that any application under the support program will not be considered without having first received this recognition.

Organization support application process

Before starting the application process for the support program, make sure you are first recognized by the Town. Are you recognized? Have you renewed your recognition application?

Step 1: Forwarding requests
Any organization recognized by the Town wishing to obtain support must have completed the application form, ensuring that the documents in their files are up to date for the current year. Please note that the organization's recognition information on file with the Town must be up to date before applying for the support program. 

Step 2: Review of applications
The Town accepts applications between February and March 31st of every year, but the allocation of funding will not be automatic. Funds are always subject to the annual budget. 

Step 3: Application evaluation process
The Selection Committee, together with a representative of the Recreation Department and the Treasurer, will evaluate applications according to the criteria set out in the policy and present their recommendations to Council. Applications meeting the eligibility criteria will be presented at a Town Council Meeting. Recurring requests will also be presented and may receive final support at the discretion of the Council.

Step 4: Confirmation or refusal
If the request is accepted, a letter of agreement confirming all the services granted and the conditions of use will be drawn up and duly signed by representatives of the Town and the recognized organization.

Step 5: Modification and cancellation
If modifications to planned activities are required, a contingency plan must be submitted to the Recreation Department for approval, prior to any continuation of proposed projects in connection with support provided by the Town of Hawkesbury.
In the event that a project must be cancelled after monetary support has been received, a full reimbursement must be made to the Town within 30 days of cancellation.

Administrative Support

Administrative Support

Insurance: Since insurance coverage is mandatory for all events, the Town can provide insurance coverage for a fee. If an insurance claim is required for the event, it is the organization's responsibility to cover the deductible costs associated with the claim.

Promotion: The organization can request promotional support using the Town’s media to promote the event. The organization must commit to adhering to the graphic standards and deadlines set by the Communications Department. It is also responsible for providing the necessary posters and visuals within the specified timeframes.4o

Financial Support

New Organizations: A group of citizens can submit a request to cover costs associated with starting a new organization. This request may help fund certain expenses related to its establishment.

Operational Support: In certain cases, organizations may receive financial support, provided they meet specific priorities established by the Town Council.

Support for Special Events: The Town can support the organization of major events. Any organization applying for this type of support must strictly adhere to the guidelines outlined in the Event Guide.

Note: All financial support requests must be submitted between February 1 and March 31.

Physical Support

Use of Facilities: The Recreation Department can provide requesting organizations with the necessary facilities or equipment for organizing events. This request must always be submitted at least 60 days prior to the event date.

Storage and/or Equipment Loans: Some recognized organizations require substantial equipment and need storage space. If space permits, the Town may provide storage for these items. As part of this program, the Town also allows the borrowing of basic equipment such as tables, chairs, barricades, and other items.
